Terms and Conditions

These Terms and Conditions ("Terms") govern your access to and use of Plandit, a web-based workforce planning and shift scheduling service available at plandit.no (the "Service"), provided by [Legal entity name], org. no. [organisation number], [address], Norway — email [support email] ("Plandit", "we", "us", "our").

By creating an account, starting a free trial, or purchasing a subscription, you ("Customer", "you") accept these Terms on behalf of the business you represent. If you do not agree, do not use the Service.

1. The Service

Plandit is a software-as-a-service tool for shift planning, employee management, availability tracking, shift exchanges, absence and vacation handling, team communication and related workforce-planning features.

We grant you a non-exclusive, non-transferable, revocable licence to access and use the Service during your subscription period, for your own internal business purposes, subject to these Terms.

The Service is intended for business use. You confirm that you use the Service as an employer or business, not as a private consumer.

2. Accounts and users

The person who registers the account is the account owner ("Admin") and is responsible for the account, including all activity under it.

The Admin may invite employees and grant roles (e.g. Manager, Assistant Manager, Employee). Employees access the Service under the Customer's account and are not separate customers.

You are responsible for:

  • keeping login credentials secure,
  • ensuring that the people you invite are authorised,
  • the accuracy of data you enter (employees, shifts, wages, opening hours, etc.),
  • configuring role permissions appropriately for your organisation.

You must not share one login between multiple people, resell access, or use the Service for any unlawful purpose.

3. Free trial

New customers receive a free trial of the Pro plan for 2 months. No payment card is required to start the trial.

When the trial expires, your access to paid features ends unless you purchase a subscription. Your data is retained for a reasonable period so you can pick up where you left off if you later subscribe.

We may change or withdraw the trial offer at any time, but changes do not affect trials already started.

4. Plans, prices and payment

The Service is offered in paid plans (currently Basic and Pro) with different feature sets and limits (e.g. number of departments/locations). Current plans and prices are shown at plandit.no/pricing.

Prices are in Norwegian kroner (NOK) and are shown including or excluding MVA/VAT as stated at checkout. Invoices/receipts include MVA details and are available in the Service under "My Receipts".

Payment is made in advance for the selected billing period (monthly or yearly) via our payment provider Stripe, by card, Google Pay or Apple Pay.

No automatic renewal. Your paid period does not renew automatically. We will notify you inside the Service and/or by email approximately 5 days before your plan expires. To continue using paid features, you must actively make a new payment.

If your plan expires, access to the paid features is suspended until a new payment is made. Your data is not deleted solely because the plan expires — see section 10.

We may change our prices. Price changes apply only to future billing periods and will be communicated in advance.

Payments are non-refundable except where required by law. Because the Service is sold to businesses and access is provided immediately, the consumer right of withdrawal (angrerett) does not apply.

5. Your obligations and acceptable use

You agree not to:

  • use the Service in violation of law or third-party rights,
  • upload content that is unlawful, offensive, or infringes intellectual property,
  • attempt to gain unauthorised access to the Service, other accounts, or underlying systems,
  • interfere with or disrupt the Service, or probe/scan it for vulnerabilities,
  • use the Service to build a competing product,
  • input personal data about individuals without a lawful basis to do so.

We may suspend or terminate accounts that breach these Terms — see section 11.

6. Employee data, GDPR and data processing

You decide what data is entered into the Service. For personal data about your employees (names, contact details, availability, shifts, working hours, absence, etc.), you are the data controller and we act as a data processor on your behalf.

You are responsible for having a lawful basis for processing employee data, for informing employees that their data is processed in Plandit, and for complying with employment and privacy legislation (including the Norwegian Working Environment Act and GDPR).

We process personal data only to provide and operate the Service, in accordance with our Privacy Policy and, where applicable, a separate Data Processing Agreement (available on request).

Data is hosted on infrastructure provided by our sub-processors (including Supabase and Stripe). A current list of sub-processors is available on request.

You must not use the Service to store special categories of personal data (e.g. health information, union membership) unless the feature explicitly supports it and you have a lawful basis.

7. Intellectual property

We own all rights to the Service, including software, design, trademarks and documentation. These Terms grant you a licence to use the Service — they do not transfer any ownership.

You own your data. We claim no ownership over the schedules, employee records or other content you create in the Service.

You grant us a limited right to process your data as needed to operate and improve the Service. We will not use your company name or logo in marketing without your consent.

Feedback and suggestions you send us may be used freely to improve the Service, without obligation to you.

8. Availability, support and changes

We aim to keep the Service available at all times but do not guarantee uninterrupted availability. Planned maintenance will, where possible, be announced in advance.

Support is provided by email. Paid plans may include priority support as described on the pricing page.

The Service is under active development. We may add, change or remove features. If we remove a core feature of your paid plan, you may contact us for a proportionate refund of the remaining prepaid period.

The Service may depend on third-party services (e.g. Stripe for payments). We are not responsible for outages or terms of third-party providers.

9. Warranties and limitation of liability

The Service is provided "as is" and "as available". While we work hard to make Plandit accurate and reliable, we do not warrant that the Service will be error-free or that calculations (e.g. hour totals, wage estimates) are free of mistakes. You remain responsible for verifying hours, pay and compliance before relying on them.

To the maximum extent permitted by Norwegian law, we are not liable for indirect or consequential losses, including lost profits, lost data, payroll errors, or loss caused by third-party services.

Our total liability under these Terms is limited to the amount you have paid us in the 12 months preceding the event giving rise to the claim.

Nothing in these Terms limits liability that cannot be limited by law, including liability for gross negligence or wilful misconduct.

10. Term, expiry and termination

These Terms apply from when you create an account and continue until terminated.

Since subscriptions do not auto-renew, your paid subscription simply ends at the end of the paid period unless you renew. You may also stop using the Service or request account deletion at any time.

You may delete your account by contacting us. Upon deletion we will delete or anonymise your data within a reasonable period, except where we must retain it for legal reasons (e.g. accounting records under the Norwegian Bookkeeping Act).

We may terminate or suspend your account if you materially breach these Terms, with notice where practicable.

Before deleting your account you should export the data you need. After deletion, data cannot be recovered.

11. Suspension

We may suspend access to the Service, in whole or in part, if:

  • continued use poses a security risk,
  • you breach these Terms,
  • we are required to do so by law or a public authority.

We will notify you and give you an opportunity to remedy the issue where reasonable.

12. Confidentiality

Each party agrees to keep the other party's non-public information confidential and to use it only for the purposes of the Service. This does not apply to information that is public, already known, independently developed, or required to be disclosed by law.

13. Force majeure

Neither party is liable for failure to perform due to circumstances beyond its reasonable control, including power outages, strikes, natural events, failures in third-party infrastructure, or public authority orders.

14. Changes to these Terms

We may update these Terms from time to time. The current version is always available at plandit.no/terms.

For material changes we will notify you in the Service or by email before they take effect. Continued use after the change takes effect constitutes acceptance.
